Privacy Policy

Care Sharing is provided by Terra3 GmbH ("Terra3", "we", "us"). This policy explains how we process personal data when you use Care Sharing.
Data we process
We process the information needed to provide and secure Care Sharing, including:
- account and identity information received from the sign-in provider, such as your name, username, email address and account identifier;
- profile information and information you or other authorised users add to Care Sharing, including people, teams, tasks, activities, comments and feedback;
- authentication, access-control and audit information, such as your role and records of relevant changes; and
- technical information required to operate the service, such as session and security data.
How we use data
We use personal data to provide Care Sharing, manage access, support collaboration between authorised users, maintain security, investigate problems, and meet applicable legal obligations. We do not sell personal data.
Google Calendar data
If you choose to connect Google Calendar, Care Sharing asks for permission to create and manage a separate calendar named “Care Sharing” in your Google account. We use that permission only to create that calendar and to create, read, update and delete the Care Sharing events in it, so that your Care Sharing activities can be synchronised with Google Calendar. We do not use the connection to access or manage your other calendars or their events.
To operate this feature, we store the Google OAuth access token and refresh token, their expiry and granted scope, the identifier of the Care Sharing calendar, and identifiers and sync metadata for the events we create. We send Care Sharing activity details that are needed to create or update those events—such as the activity name, date and time, assigned person indicator, and completion status—to Google Calendar. We use this data only for the calendar-sync feature, do not sell it, do not use it for advertising, and do not transfer it to third parties except Google as required to provide the feature, or where required by law or necessary for security.
You can disconnect Google Calendar at any time from your Profile page. Doing so removes the Care Sharing calendar from Google Calendar when possible, revokes Care Sharing’s ability to sync it, and removes the stored OAuth tokens from Care Sharing. Information already held in Care Sharing about your tasks and activities remains subject to the retention terms in this policy.
Care Sharing protects Google user data with reasonable technical and organisational safeguards. The use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Sharing and access
Information in Care Sharing is available to users with the permissions assigned by your organisation. We may use service providers to host, secure, authenticate, maintain or support the service; they may process data only as needed to provide those services. We may also disclose information where required by law or to protect the security of Care Sharing and its users.
Retention
We retain personal data for as long as needed to operate Care Sharing, comply with legal obligations, resolve disputes and enforce our agreements. Your organisation may also control retention or deletion of content it creates.
Security
We use reasonable technical and organisational measures designed to protect personal data. No service can guarantee absolute security; please keep your sign-in credentials confidential and promptly report suspected unauthorised access.
Your rights and choices
Depending on applicable law, you may have rights to request access to, correction, deletion, restriction or portability of your personal data, or to object to certain processing. To exercise a right or ask a privacy question, contact your Care Sharing organisation administrator, who can coordinate with Terra3 GmbH where necessary. You may also have the right to complain to the relevant data-protection authority.
Changes to this policy
We may update this policy when Care Sharing or applicable requirements change. The current version will be published on this page with its updated date.
